Resident Conference Funds

DEPT: MEDICAL EDUCATION
POLICY #: 8240.34

GOALS

Attendance by residents at national or regional conferences fosters the educational development of the resident and their cohorts. All Residents are therefore allotted time (in addition to their usual vacation time) and are provided a stipend for this purpose.

POLICY

1) All residents are allotted time (in addition to their usual vacation time) and are provided a stipend of up to $1750.00 to attend one major conference per year. In addition, for accepted oral presentation (including oral poster presentation), up to $2750.00 is provided.

2) Conference attendance must be approved in advance by the Program Director. Allowable conferences are determined solely at the discretion of the Program Director.

3) Travel pre-authorization must be submitted in advance of requested travel to the Program Coordinator and must acknowledge resident’s awareness of Cottage Health’s travel policy and this Resident Conference Funds policy.

4) After approval by the Program Director, the authorization must also be approved by the Vice President of Medical Affairs and Finance Department in advance of the conference.

5) Each resident who is in good academic standing may be permitted to attend one conference per academic year for a maximum of five days. Additional conferences may be attended at the resident’s expense (or with Cottage Health funding if the $1750.00 was not used in its entirety for the first conference) with prior Program Director approval.

6) Support may include coach airfare, incidental travel expenses (taxi, parking, etc.), registration, housing, reasonable meals. Guidelines for various expenses are included in the Cottage Health travel policy. Support is for the Resident only and specifically excludes expenses for any traveling companion.

7) All receipts must be submitted in Compass to the Finance Department in order to receive reimbursement. Any expense (excluding gas mileage) for which a receipt is lacking will not be eligible for reimbursement.

8) Funds will be debited from the GME budget.
